We (hereinafter referred to as the “Company”) collect personal information from our optional tour booking websites including CITY DISCOVERY. Because we consider protecting personal information is very important to ensure safe and convenient booking through our websites, we handle personal information in compliance with the following regulations

When the Company Collects Personal Information
The Company collects personal information from its customers upon their consents, when it is required by law, to the extent necessary to accomplish the purposes of use of the Company.
When the Company Uses Personal Information
The Company uses personal information collected from its customers only for the purposes of use prescribed by the Company.
How the Company Saves and Stores Personal Information
The Company saves and stores personal information with taking security of system into account in order to prevent leakage of the information collected from its customers.
Deletion and Erasure of Personal Information
The Company deletes or erasures Personal Data (as defined in the Act of Protection of Personal Information of Japan. The same applies hereafter.) that is no longer needed without any delay after the reasonable period of time.
Response to Inquiries from Customers
The Company accommodates requests from its customers for notification of the purposes of use, disclosure, correction, addition, removal, cessation of use, erasure, suspension of provision to third parties of Retained Personal Data (as defined in the Act of Protection of Personal Information of Japan. The same applies hereafter.) in compliance with applicable laws.
Safety Control Measures etc.
The Company will educate all staffs engaged in CITY DISCOVERY service operations about the importance of protecting personal information, and will take necessary and appropriate measures to ensure the safety control of personal information.

  1. Personal Information the Company Collects and the Purposes of Use

    The Company collects personal information including address, name, birthday, contacts, e-mail address and passport number of customers and uses it. The Company will not collect Special-care Required Personal Information without obtaining consent from its customers. In case where the purposes of use of personal information have not been published when the information is collected from customers, the Company will give notices of such purposes of use to the customers or make such proposes public. The Company will not collect personal information from children under 13 years old without obtaining consent from their parents and/or guardians. The Company assumes that the customers providing personal information of who are under 13 years old with consents from their parents and/or guardians. In case where the Company becomes aware of no such consent existing, the Company uses the personal information only for purpose of contact to the parents and/or guardians or purpose related to such purpose.

    1. Use of CITY DISCOVERY service (including membership registration etc.)
      The Company shares personal information of its customers with VELTRA group companies for each another in order to offer CITY DISCOVERY services.
    2. Booking and joining optional tours
      • Items to be collected
        The Company collects information including name, payment information, passport number and also such health information as health status and history of disease from participants of optional tours upon booking application submitted by the customers.
      • Specific purposes of use
        The Company collects personal information of its customers and uses for such purposes as confirmation of eligibility for participation to optional tours and health status of customers (differ depending on the contents of tours), offering supports before and after their participation (including emergency communications) and payment of optional tour costs and fees. In order to achieve such purposes, the Company provides personal information of customers to such involved parties as optional tour organizers, transportation facilities and price settlement substituting traders (including parties operating their business in foreign countries).
    3. Provision of useful information including e-mail newsletters to the customers

    6. Adding mileage points etc. conferred by affiliate service providers to the customers
      • Items to be collected
        Mileage number and membership number assigned by affiliate service providers that are the Company’s alliance partners, and information of available tours etc.

        Adding mileage and other kinds of points conferred to the customers by affiliate service providers that are the Company’s alliance partners

  2. Provision of Personal Data to Third Parties

    The Company will not provide Personal Data to third parties except the following situations.

    1. When customers give prior consents to the Company for provision of personal data to third parties (including travel agencies, social media service providers and advertisement delivery service companies conducting their business in foreign countries) by means of agreeing with this privacy policy or others.
    2. When the company entrusts third parties with handling Personal Data to the extent necessary to accomplish the above-mentioned purposes.
    3. When the Company is required to do so by laws and regulations.
    4. When it is necessary for the protection of the life, body or property of a person, and it is difficult to obtain the consent of the customer.
    5. When it is especially necessary for improving public health or promoting the sound growth of children, and it is difficult to obtain the consent of the customer.
    6. When the data is needed by the national or local government in executing the affair prescribed by laws and regulations, and obtaining consent from the customers likely to impede the execution of such affairs.
  3. Entrustment of Handling of Personal Data

    When the company entrusts third parties with handling of personal data of its customers within the extent required for the achievement of the purposes of use of the Company according to the provisions in the preceding paragraph, the company will take necessary and appropriate measures regarding supervision of the entrustees. When the entrustee re-entrusts its operations to another party, the Company will, directly or indirectly, supervise whether the entrustee takes necessary and appropriate measures to supervise the party. The same will be applied to further entrustment.

  4. Collection of Cookies and Other Information

    1. Cookies
      Cookies is data stored in user’s hard disk which includes information about the customers (users). The Company shall not use Cookies to identify an individual. The Company uses introducing session Cookies, which is to be deleted when the browser is closed. The Company uses Cookies for such purposes as improving its services, measuring the effects of customization and advertisements of its websites. Additionally, the Company identifies items of higher interest degree of customers by performing statistic processing on Cookies and makes good use of the results. Also, the Company applies it in prevention of unauthorized access to its websites. Cookies can be invalid upon a customer’s request, but the customer is no longer able to book on CITY DISCOVERY once Cookies has been disabled.
    2. Logfile
      The Company collects certain information automatically and keeps it in a logfile. The certain information includes IP (Internet Protocol) address, kind of browser, ISP(Internet Service Provider), webpages that are seen or closed, operating system and time stamp. The Company uses the information in order to detect unauthorized access to its websites. The Company also conducts trend analysis of customers, manages its websites and tracks user behavior. However, the Company uses the information making it impossible to identify an individual, and never uses obtained information for the purposes other than as described above.
    3. Web Beacon
      The company uses web beacon for traffic analysis and affiliate programs. The Company never uses web beacon for the purposes other than as described above or in order to identify an individual.
    4. Statistical analysis
      The Company grasps which sites or services are popular among its customers, and keeps a record of pages seen by the customers, by using an analysis tool for accesses by third parties. The Company uses the data in order to provide the customers who have shown interests to specific fields with suitable contents and advertisements on CITY DISCOVERY website. The Company also collects statistical information that does not identify an individual. Furthermore, the Cookie information collected by the Company and another company may be available for inspection between the two parties on the analysis tool for accesses by third parties.
  5. Security Control Measures for Personal Data

    The Company takes systematic, technical and physical security control measures to prevent leakage, plagiarism, misuse, unauthorized access, falsification or destruction of Personal Data. The Company also limits access to the server in which it stores Personal Data only to specific employees who have ID and password, and especially for certain Personal Data, the Company minimizes the number of employees who have access right to manage it. Additionally, the Company distributes the Personal Data which contains credit card information in several data centers, and keeps in secure environments. Furthermore, the Company introduces Secure Sockets Layer(SSL)into its all webpages related to transaction. Using SSL-capable browsers enables the confidentiality of Personal Data and credit card information transmitted online to be maintained.
    The employees who handle Personal Data of the customers use monitors with the screen saver function that are protected by password when they do not use the devices.The Company conducts education and training about the importance of protecting personal information once in 6 months on a company-wide basis, but once in a month in some departments, and does the minutes of such education.

  6. Request for Disclosure, Correction, and Suspension of Use etc.

    The Company accommodates requests from its customers for notification of the purposes of use, disclosure, correction, addition and removal, cessation of use or erasure and suspension of provision to third parties of Personal Data (hereinafter referred as to “Disclosure etc.”) through the contact center written in 9 below. The Company also deals with the requests for modification of membership information and unsubscription from the newsletter on “My-Pages” of customers.

    CITY DISCOVERY website contains external links. This privacy policy is applied only to information corrected through CITY DISCOVERY website. The Company does not take any responsibility for privacy policies or contents of privacy policies of the other websites. The Company kindly asks its customers to read privacy policies on each website represented by the links, and confirm how personal information of customers will be handled.

  8. Changing of Privacy Policy

    The Company uploads its privacy policy on CITY DISCOVERY website, and makes it always known to its customers which personal information the Company collects for what purposes and how it is used. The company also makes announcement of any change in privacy policy to its customers by publishing it on CITY DISCOVERY website.
